Prioritizing Patient/Client Care - Closing, Relocating, or Leaving a Denturist Practice

While a denturist has an obligation to notify the College of Alberta Denturists (College) when planning to retire, relocate, close, or sell their practice; patient/client care must remain the top priority. Effective planning and communication are essential to protect patients/clients from disruptions in their care and to maintain trust in the profession.

Ensuring Continuity of Care

Transitions in a denturist practice, such as relocation or closure, can have significant impacts on patients/clients, particularly those in the middle of treatment plans or requiring ongoing care. For example:

Treatment disruptions: A patient/client awaiting delivery of new dentures may experience delays or require transfer to another provider if the practice closes unexpectedly.

Accessibility: Relocation to a distant location might make it difficult for patients/clients, especially those with mobility challenges, to continue their care.

To mitigate these impacts, denturists should:

Provide patients/clients with clear information about their options for continuing care, including referrals to other qualified professionals.

Collaborate with colleagues to transfer care seamlessly for patients/clients requiring immediate or ongoing services.

Patient Records Management

Patient/client records are critical for continuity of care and must be managed securely and responsibly. Mishandling records can disrupt care and erode patient/client trust. To ensure proper record management, denturists must:

  • Follow the Health Information Act (HIA) to securely transfer, store, or dispose of patient records.
  • Inform patients/clients about how to access their records, including any costs.
  • Provide the successor custodian’s contact information if records are transferred.

Communicating with Patients

Clear, timely communication is essential to minimize the impact on patients/clients. Denturists shall notify patients/clients at least 90 days before any planned changes, including:

  • Closure or relocation dates – For example, “Our clinic will close on June 30, 2024, and reopen at 123 New Street on July 10, 2024.”
  • Options for continuing care – Provide a list of nearby denturists or clinics, with details on how to arrange an appointment.
  • Access to records – Outline the process for obtaining copies of their records, including costs.

Best Practices for Patient-Centered Transitions

To minimize patient/client impact, denturists should:

  • Plan – Begin preparations well before the 90-day notice period to ensure all aspects of patient/client care are addressed.
  • Communicate and document actions – Keep detailed records of communications, referrals, and the disposition of patient/client records.
  • Seek guidance – Consult with colleagues, legal counsel, and regulatory bodies for guidance.

By prioritizing patient/client care, denturists can uphold their professional responsibilities and ensure smooth transitions that maintain trust and respect within their communities
